By booking one of Vegan Food Tour Netherlands’ tours, you agree to the terms and conditions below. A booking is final once it is paid. If a participant books for a group, it is his/her responsibility to share the terms and conditions with the other participants.

Definitions

In these general terms and conditions, the following terms are used in the following meanings unless expressly stated otherwise.

• Vegan Food Tour Nederland V.O.F: the organization behind the Vegan Food Tours (also referred to as “Vegan Food Tour Netherlands,” “Vegan Food Tour,” “we,” “us,” or “our”).
• Guide: the person conducting the tour on behalf of Vegan Food Tour V.O.F.
• Participant(s): any natural person participating in one of the tours of Vegan Food Tour Nederland V.O.F.
• Booker: the participant who books the tour.

Booking, payment and cancellation

The booker or participant can book a Vegan Food Tour up to at least 3 months in advance, either through the website www.veganfoodtour.nl or through an external booking platform. The booker or participant can make a booking up to 24 hours before the tour starts.

When booking a Vegan Food Tour, the booker or participant will provide the following information: number of participants, first name, last name, email address, phone number and any allergies of all participants they are booking for.

After providing the information through Ticketinghub’s booking module, the booker or participant is redirected to the payment page. The booker or participant pays Vegan Food Tour Netherlands in advance using one of the payment methods we offer on the website. The method of payment may vary depending on how the booking is made. Any additional costs involved with other payment methods will be borne by the participant.

A booking is final after payment is made. The booker or participant will receive a confirmation email at the email address provided with booking information such as, the exact start time and location and the date the booker or participant booked the tour. In the attachment of the e-mail, the booker or participant will find the tickets, on which the specified information about the other participants can also be found. The booker or participant is responsible for checking the information in the confirmation email. If the information in the confirmation email is incorrect, the booker or participant must notify info@veganfoodtour.nl as soon as possible but no later than 24 hours after booking.

A booking for the Vegan Food Tour may in no way be resold or used for commercial purposes, without prior written permission from Vegan Food Tour Nederland V.O.F. If this proves to be the case, we have the right to refuse participation of the participant(s) concerned in the tour.

We reserve the right to adjust the price of the tour at any time. The price paid by the participant on the day of booking remains unchanged, regardless of any price increases.

If the participant has not paid the booking by the start of the tour, we have the right not to admit the participant to the booked Vegan Food Tour.

The participant may cancel a booking free of charge up to 14 days prior to the tour, except for the booking fee of 5% of the sale price, which is non-refundable. If the participant cancels the tour between 14 days and 48 hours before the start of the tour, we will charge a 20% administration fee in addition to the non-refundable booking fee. There will be no refunds if the participant cancels later than 48 hours before the start of the tour or fails to show up at the tour.

The participant can reschedule the tour to another date free of charge up to 7 days before the tour starts. If the participant wishes to reschedule the tour less than 7 days before the start of the tour, a 20% administration fee will be payable in addition to the 5% booking fee.

The minimum number of participants for the tour to go ahead is 6 adults (or 6 paying participants). If there are less than 6 participants 24 hours before the tour starts, we reserve the right to cancel the tour and issue a full refund. We cannot be held responsible for expenses incurred, such as hotel stays and/or travel expenses.

We reserve the right to refuse a reservation without reason.

Group bookings

A group booking is defined as a reservation for a private party of at least 10 people. A group smaller than 10 people can also apply, but payment must always be made for at least 10 people. To make a group booking, the contact person of the group should contact Vegan Food Tour Netherlands via the contact form on the Private Groups or Team Outings pages or at info@veganfoodtour.nl.

When making the booking, the contact person of the group should provide the exact date, the expected number of participant and any special requests or dietary requirements. One way to do this is by using a form we provide.

Paying and canceling a group booking

Group bookings should preferably be requested at least 1 week before the scheduled date of the tour. Requests within this time frame are possible but subject to availability and cannot be guaranteed. A deposit of 20% of the total cost is required to confirm the group booking. This deposit is non-refundable.

The final number of participants must be confirmed no later than 48 hours before the scheduled date of the tour. After this date, it is not possible to reduce the number of participants. Increase in the number of participants is subject to availability at Vegan Food Tour Nederland V.O.F. and should be communicated as soon as possible.

Payment terms of Groups

Full payment for the group tour is due no later than 7 days prior to the start of the tour. Payment will be made by bank transfer based on the invoice provided. If payment is not received by the date specified, Vegan Food Tour Nederland V.O.F. reserves the right to cancel the tour. In that case, the 20% deposit remains due.

If no deposit has been made and payment is not made, the right to execute the tour expires and no rights can be derived from the reservation.

For cancellation by the client more than 7 days in advance, only the 20% deposit will be retained; the remaining amount will be refunded within 14 days.
For cancellation between 7 days and 48 hours before the tour starts, the 20% deposit will remain due; the remaining amount will be refunded.
For cancellation within 48 hours before the tour starts, the full invoice amount will be due. There will be no refund.

If Vegan Food Tour Nederland V.O.F. has to cancel the tour unexpectedly, the full amount, including deposit, will be refunded to the booker/contact person.

Any complaints or refund requests must be submitted in writing to Vegan Food Tour Nederland V.O.F. within 3 days of the tour.

Moving tours

Moving a booked tour or group booking to another date is considered a cancellation by default, unless otherwise agreed in writing.

For individual bookings, rescheduling is possible up to 7 days prior to commencement at a non-refundable 5% booking fee. Relocation within 7 days prior to commencement is subject to a 20% administration fee, in addition to the non-refundable booking fee.

For group bookings, conditions for relocation are on request and subject to availability. In all cases, requests for relocation must be made in a timely manner and in writing at info@veganfoodtour.nl.

Force majeure and weather conditions

The Vegan Food Tour goes on basically anytime, regardless of the weather. We expect participants to wear appropriate clothing and footwear.

Only in extreme weather conditions with code orange or red, where conducting the tour is deemed unsafe or irresponsible, Vegan Food Tour Nederland V.O.F. reserves the right to cancel the tour. In that case, the full amount, including deposit, will be refunded.

Code yellow is not a reason for cancellation and does not entitle you to a refund.

If a participant decides not to attend the tour due to rain or other weather conditions, while the tour is going ahead, this is considered a cancellation by the participant and no refund will be made.

If there is force majeure on the part of the Vegan Food Tour organizers, we reserve the right to cancel the tour and refund the full deposit, or reschedule to another time. Force majeure occurs when participating restaurants do not or cannot keep their appointments, strikes, lockdowns and other situations beyond our control. In case of cancellation due to force majeure, we cannot be held responsible for incurred costs and damages, such as hotel bookings or travel expenses.

The tours of Vegan Food Tour Netherlands

Before the tour begins, the booker and/or contact person will receive a confirmation email with the exact start time and location and the date the booker or participant booked the tour. Because we do not request contact information for all participants in the company or group, it is the responsibility of the booker and/or contact person to share the information sent with all participants in the company or group.

We reserve the right to modify the content and itinerary of our tours before or during the tour. The number of locations we visit and food offerings may change based on the opening hours of the participating restaurants.

Tours last between 3 and 4 hours. The duration may vary depending on group size, waiting time at the various locations and the walking or biking pace of the participants.

All food and at least one drink are included in the price. The food is ordered in advance and thus cannot be changed during the tour. Participants are free to purchase additional food and beverages during the tour.

Safety and liability

Participation in the tours of Vegan Food Tour Netherlands is entirely at your own risk.

The booking module at www.veganfoodtour.nl includes a section for the participant to indicate allergies and/or specific dietary requirements. Participants are responsible for stating any allergies and/or dietary requirements of themselves and the person they are booking for. We try to accommodate allergies and/or dietary needs as much as possible during the tour and will provide alternatives whenever possible. We cannot guarantee that all locations will offer a suitable alternative for allergies and/or dietary needs. Some locations may charge an additional fee for the alternative dish in the event of an allergy and/or dietary requirement. The additional cost is at the participant’s expense.

We are not liable for any allergic reactions to food or drink. The locations we visit during the tour are registered restaurants and serve high-quality food.

We are not liable for any direct or indirect damages resulting from participation in our tours. We are not liable for physical or property damage to the participant, due to, for example, falling, bumping, slipping and participating in traffic, before, during or after our tours. We are not liable for loss, theft and/or damage to participant’s property before, during or after our tours.

The guide reserves the right to refuse or turn away participants who behave irresponsibly or otherwise inappropriately (drunk, aggressive, rude, etc.). The refusal or dismissal of a participant due to irresponsible or improper behavior is not grounds for a refund of the payment made.

On our bike tours, participants may bring their own bikes or rent a bike through us from an outside rental company. In either case, participation is entirely at your own risk. Participants are responsible for the proper functioning and safety of their own bikes.

In the case of a rented bicycle, the bicycle comes from an external party, with which Vegan Food Tour Netherlands works. We visually check these bikes at the start of the tour, but are not responsible for technical defects, damage or accidents caused by using these bikes. Any damage to the bike or caused with the bike will be the responsibility of the participant.

Commencement of the tour

At the start of the tour, the participant may be asked to show the confirmation email as proof of entitlement to participate. The participant does not need to print the confirmation email. Digital evidence is sufficient. Participation is allowed only on the day specified in the confirmation email.

The participant is responsible for showing up on time at the start locations, as stated in the confirmation email. We are under no obligation to postpone the start time or change the route if the participant cannot show up at the start location on time.

If the participant is prevented, lost or unable to arrive at the start location on time for any other reason, he/she should contact us at the phone number in the confirmation email or at info@veganfoodtour.nl.

In case the participant arrives late and does not contact the guide or the tour organization about it, the situation is considered a no show and the reservation will be canceled. A “no show” is not grounds for a refund of the payment made.

Privacy

The participant is required to provide accurate information when booking our tours. Changes and/or inaccuracies in this data should be reported to us in a timely manner.

We process participants’ personal data when making a booking. Personal data is used only for administrative purposes.

The participant agrees that he/she may be photographed or filmed during one of our tours and that this material may be used for promotion and social media. If the participant objects, he/she can mention it at the start of the tour or by sending an email to info@veganfoodtour.nl.

The participant(s)

The participant recognizes that he/she will be participating in a walking or biking tour and is capable of walking or biking the indicated distance. If the participant uses other transportation during the tour (bus, cab, (rental) bike), any costs are the participant’s own.

Children are welcome on our tours, but participation of minors (under the age of 18) is allowed only when accompanied by an adult. This supervisor is fully responsible for the child’s behavior, safety and well-being during the tour. Please note that not all stops are designed for young children and some dishes may contain pronounced flavors. Do you have a child with you? Then book a child ticket and/or indicate at the time of your reservation that your child is participating, so we can take this into account – where possible. For children up to and including 12 years of age, we offer a modified rate depending on the tour. Please contact us about this before booking.

Vegan Food Tour Netherlands’ walking and biking tours take place in public places. The participant should be aware of local rules and regulations applicable to pedestrians and bicyclists.

During the tours of Vegan Food Tour Netherlands, the participant is not allowed to:

consume alcohol (unless it is part of the tour or during a visit to one of the locations) use or carry drugs, engage in aggressive behavior, harassment, threats or other inappropriate behavior toward the guide, other participants, business owners or other persons.

Gift cards, coupons and vouchers

Gift vouchers sold through our current ticketing platform (Ticketinghub) are valid for up to two years from the purchase date, unless otherwise stated. After the expiration date, the gift certificate can no longer be redeemed.
Gift certificates or vouchers issued through previous platforms (such as WooCommerce or Shopware) and whose validity is not unambiguously defined, are in principle valid until no later than two years after the date of issue, unless explicitly stated otherwise on the respective voucher.

The gift certificate has a monetary value and can be redeemed for all available tours of Vegan Food Tour Netherlands. If the balance of the gift certificate is insufficient to pay for the entire booking, the remaining amount must be paid additionally by the participant. If there is a remaining balance on the voucher after use, this amount can be used for subsequent transactions as long as the voucher is valid.

Gift certificates or vouchers are not redeemable for cash, in whole or in part. Residual amounts will remain on the gift certificate as long as it is valid, but will not be paid or refunded in cash under any circumstances.

Gift certificates and vouchers are freely transferable. The person who uses the voucher’s unique code when making a booking is considered the rightful owner/user of the voucher. Vegan Food Tour Netherlands does not perform any additional verification.

Price changes of tours or activities after the gift certificate has been issued do not affect the original monetary value of the gift certificate. The holder of the voucher must pay any price differences themselves.

Gift certificates are issued digitally only. The participant is responsible for carefully storing the gift certificate and its unique code. Vegan Food Tour Netherlands is not liable for loss, theft, damage, abuse or unauthorized use of gift certificates. In case of loss, no replacement voucher or compensation will be provided.

In case of termination of business activities or bankruptcy of Vegan Food Tour Netherlands, all gift certificates and vouchers issued will automatically lose their validity. The holder of a gift voucher is not entitled to a refund or reimbursement of the remaining value of the voucher in these situations.

If Vegan Food Tour Netherlands is unable to conduct tours temporarily or for an extended period of time due to force majeure (such as, but not limited to, pandemics, natural disasters, government measures, war, terrorism or other circumstances beyond our control), the gift certificate cannot be redeemed during that period. In such cases, the validity period of the voucher will be extended by the duration of the force majeure situation. However, refund or payment of the remaining balance of the gift certificate is excluded

Discount codes and promotional coupons

Vegan Food Tour Netherlands may make available discount codes or promotional coupons for specific promotions or collaborations. These codes entitle you to a one-time or temporary discount on the purchase amount and are not redeemable for cash.
Discount codes are only valid within the specified period and under the conditions stated. After the expiration of the validity period, the right to use them expires. Vegan Food Tour Netherlands reserves the right to terminate or modify discount codes without prior notice.

Complaints and refund requests

Not satisfied with something? We are sorry to hear that – but we do like to hear it. Please email your complaint or request for a refund within three days of the tour to info@veganfoodtour.nl, clearly describing your experience, the booking number and the date of the tour.

We aim to respond substantively within 5 business days. Complaints submitted later than 3 days after the tour may not be able to be processed by us.

Applicable law and disputes

These general terms and conditions are governed by Dutch law. We will do our best to resolve any disputes in consultation with you. If we do not reach a solution together, disputes will be submitted to the competent court in Utrecht.
